Bulk custom hats specification review
Keep one controlled worksheet for the proposed hat and its decoration. A clear requirement makes supplier differences visible; it does not establish stock, a performance result or regulatory approval.

- Hat construction and fit
- State the accessory type and use, crown profile, brim dimensions and size or adjustment method. Ask for the proposed material composition and fabric weight where relevant. Record dimensions in cm or in and state the measuring position, so two suppliers respond to the same definition.
- Artwork and decoration
- Identify the logo file revision, color references, dimensions and placement. Ask how seams, curved surfaces or closure hardware affect the requested position. Request a decorated sample on the intended construction rather than treating an unrelated sample as production approval.
- Quantity and packaging
- Give piece quantities by style and colorway, then the requested pack ratio. For example, a planning brief of 20 cartons containing 24 pieces per carton means 480 pieces. This is arithmetic only, not a supplier MOQ, stock statement or standard pack commitment.
- Quote and receipt scope
- Ask for currency, price basis, setup, samples, packaging and freight exclusions. Specify the US destination, required receipt date and acceptable shipment splits. Keep a buyer deadline separate from a supplier production estimate and carrier transit assumption.
Use product inquiry options to identify the starting family. An optional budget and supplier preference can clarify what you are willing to trade off; you do not need an existing quotation.
Four levels of evidence to keep distinct
Requested
The buyer states composition, adjustment range and decoration dimensions. Unresolved fields remain questions; a requirement is not proof that a supplier can meet it.
Documented
The supplier identifies the proposed item and provides relevant material, labeling or test documents. Check item identity, document revision and test conditions. A certificate for another style cannot close the question.
Sample reviewed
Inspect the actual decorated sample against the brief. Record measuring positions, appearance observations and exceptions. If wash or abrasion behavior matters, agree a method and requested evidence instead of inferring it from thread or print appearance.
Order confirmed
Link the accepted quotation, artwork revision, sample decision and packing instructions. A substitution or changed carton configuration should reopen the affected approval and total-cost comparison.
